The tools I’m sharing here have helped me balance both my professional projects and my personal responsibilities, providing a structure that empowers me to thrive.

Each tool offers different features and strengths, so you can pick and choose what fits your current needs—whether you’re leading a team at work or coordinating a busy household. The goal is to create harmony, not complexity.

 

Tools to Help You Stay Organized and Efficient

  • Trello: Visual Task Management for Work and Home

Trello is a highly visual and intuitive tool that makes managing tasks simple. With its card-based layout, you can create boards for each project or category in your life. For example, you can create a board for work projects and another for personal responsibilities like family schedules or household chores. Each card can be assigned due dates, checklists, and attachments, making it easy to stay on top of both professional and personal tasks.

Pro Tip: Create separate Trello boards for work and home (self-care can be another board to consider) to help you stay focused without feeling overwhelmed by seeing everything in one place.

  • Google Workspace: The All-in-One Solution

Google Workspace brings together Gmail, Google Calendar, Google Drive, Google Docs, and more, making it an all-in-one solution for organizing both professional and personal tasks. At work, I use Google Drive to share and collaborate on documents, while Google Calendar keeps my meetings and deadlines in check. At home, shared calendars in Google Workspace are invaluable for coordinating family events, appointments, and activities. You can also store personal documents, like your kids’ school schedules or family travel itineraries, in Google Drive for easy access from any device.

 Pro Tip: Sync your work and personal Google Calendars to ensure that nothing slips through the cracks, whether it’s an important meeting or a family dinner.

  • Text Messaging, Google Chat, and Apple Messages: Quick and Efficient Communication

In both your professional and personal life, clear and fast communication is key. Whether you’re checking in with your team at work or texting your spouse about dinner plans, tools like Google Chat and Apple Messages allow for seamless and efficient communication. These platforms are ideal for quick updates or conversations that don’t require a formal email.

 Pro Tip: Set boundaries for when you are available and when you need "focus time" by silencing notifications during dedicated work periods or family time.

Wrike is a powerful project management tool designed for those who manage multiple, complex projects and large teams. With Wrike, you can assign tasks, set due dates, track progress, and collaborate seamlessly with your colleagues. While Wrike is often seen as a professional tool, it can also be adapted for personal use. For example, you can manage long-term personal projects like home renovations or family events with the same ease that you manage your work projects.

Smartsheet offers the familiarity of a spreadsheet with the robust project management capabilities you need to track timelines, manage resources, and monitor budgets. It’s perfect for corporate women who prefer working in spreadsheet formats but need more advanced tracking capabilities than what standard spreadsheets provide.

Smartsheet can be a great tool for keeping track of personal projects too—whether you're organizing a family reunion, tracking household expenses, or planning an extended family vacation.

Pro Tip: Leverage Smartsheet’s real-time collaboration features to keep everyone updated. With live editing and instant notifications, your team or family members can access the latest changes, track task progress, and stay on top of deadlines—ensuring smooth coordination without constant follow-ups.

 

  • Confluence & JIRA: Documentation and Task Tracking for Professionals

For those working in more technical fields or managing teams in industries like software development, Confluence and JIRA are two essential tools. Confluence allows you to store and organize important project documentation, while JIRA helps you track tasks, manage workflows, and address any issues or roadblocks in your projects.

  • Physical Shared Calendars (Like Skylight) and Shared Photos Platforms

Sometimes, a digital tool or paper calendars aren’t enough to coordinate a busy family. Physical shared calendars, like the Skylight Calendar (yep…I bought mine on Amazon Prime Day), allow you to display family schedules in a central place where everyone can see it. This can help reduce confusion and keep everyone on the same page about daily events, appointments, or activities.

For families who like to stay connected through photos, shared photo platforms like Apple Photos and Google Photos are perfect for keeping memories organized. With family sharing features, everyone in your household can upload, view, and comment on photos, ensuring that special moments are easily accessible to everyone.

Pro Tip: Use Apple’s Family Sharing plan to sync calendars, reminders, and photos, making it easier for everyone to stay connected and informed. Synced calendars can be displayed through the Skylight Calendar (my calendar lives in my kitchen by the refrigerator).  

Personal Note: I love my paper dachshund walls calendars. When the year is over, I give them to my kids for art projects during rainy days and “no screen time.” We’ll cover that topic on a future blog.
